The ColSpace Solution
ColSpace began the design process by providing the West Coast client
with a detailed customization questionnaire, which is designed to
help ColSpace and its clients establish and clarify the goals in
implementing the system. Questions range from how many different
users or offices need access to the site, to what features are most
important to achieving the site’s functionality goals, to
what branding elements should be present in the graphic design.
“After analyzing the input from OMD and their client, we knew
that Digital Office would immediately reduce their shipping costs
and cut down on paper usage,” says ColSpace President Matthew
Greenhouse. “We also were able to make some custom modifications
to specifically address some of the needs unique to the broadcast
manager’s department.”
One such customization was an enhanced security feature requiring
pre-approved registration for users. Working with multiple agencies
on a wide array of campaigns, the client’s broadcast manager
needed a layered organizational system that allows her to limit
access to different folders and documents.
For this reason, ColSpace designed the system with the broadcast
manager as the lead administrator (instead of the agency lead) so
that she could determine which team members from which agencies
had access to each document folder. Anyone wishing to access the
site had to register through her, giving her the opportunity to
establish the user’s appropriate access level prior to the
user’s activation.
After developing these and other recommendations about the site’s
organization and functionality, ColSpace presented them to OMD and
the client for approval and feedback. Shortly after a consensus
was reached on site features, the ColSpace design team provided
OMD and the client with graphic design options for the site branding.
